Accommodation Assistant

Reports to: Accommodation Supervisors, Accommodation Manager

Organisation: Atalia Student Residences DAC


Atalia Student Residences DAC is a wholly owned subsidiary company of University of Galway and is responsible for the management and operation of campus residences Dunlin Village, Goldcrest Village and Corrib Village, as well as the co-ordination of conferences and events across the campus.

Throughout the academic year, our accommodation is home to over 1,800 University of Galway students. During the summer, we welcome thousands of guests to the University campus for holidays, conferences, special events and summer schools.

Job Role

The position of Accommodation Assistant will comprise of roles and responsibilities over the contract period April – September 2024. There is a possibility of extending or making permanent this contract for the right person.

The main purpose of this role is to ensure that all guests receive service of the highest standard. Each member of the Accommodation Team plays a key part in ensuring that the entire premises is always safe, hygienic and efficient, all while maintaining a welcoming atmosphere and operating within budget. The Accommodation Team supports and works in partnership with all other departments, ensuring all standards and guest expectations are consistently met or exceeded.

Main Responsibilities

· Attend daily team briefings and receive important information about the day ahead, as well as receive your daily assignment.

· Sign out any keys or equipment you receive for your shift.

· Your daily assignment may include maintaining public areas and public restrooms, in which case the public areas protocols must be strictly followed, including proper announcement of entering facilities and use of correct signage.

· Your daily assignment may include servicing stay over rooms, in which case, the stayover protocol must be strictly followed.

· Your daily assignment may include cleaning of rooms from which guests have departed, in which case the departures protocol must be strictly followed.

· Your daily assignment may include transferring linen to and from storage, in which case all laundry protocols must be strictly followed.

· Your daily assignment may include the lifting, moving and carrying of linen, furniture, or equipment, in which case all manual handling and health and safety protocols must be strictly followed.

· Gather your trolley and/or required supplies and equipment in an organised fashion.

· Double check that you have the right chemicals, equipment and personal protective equipment required for the task at hand.

· Ensure that your work areas are always kept clean. It is crucial that trolleys do not block corridors or cause obstructions in public areas.

· Ensure that corridors are always maintained in a clear and clean manner, including removal of rubbish, and ensuring fire exits are always kept clear.

· Continuously communicate with your manager or supervisor, to ensure guests’ needs remain priority.

· Immediately report any request or feedback from a guest to your department supervisor or department manager.

· Ensure that all lost property is handed to the department supervisor or department manager at the end of each shift.

· Re-stock your trolley at the beginning or end of shift.

· Return and sign back in any keys at the end of the shift. Keys should never leave the property.

· Arrive for duty well presented, meeting all personal hygiene standards.

· Always adhere to all hygiene and any other relevant standards and protocols, including while on breaks and in back of house areas.

· Communicate any issues clearly and promptly to all relevant colleagues.

· Attend required training, both on site and online.

· Report any health or safety issues to your direct manager immediately.

· Ensure fire exits are always kept clear.

· Ensure that hallways/ corridors are always neat and accessible.

· Use any equipment or chemicals in an appropriate and safe manner.

· Immediately report any accidents or incidents.

· Be professional, courteous and positive in all dealings with our guests.

· Be proactive and remain knowledgeable.

· Immediately do all that you can to address and rectify any customer satisfaction concerns.

· Immediately notify your manager of any customer satisfaction concerns.

· Reflect our values of appreciation and hospitality in every aspect of your role.
