Accommodation Supervisor

Reports to: Accommodation Manager

Organisation: Atalia Student Residences DAC

Background

Atalia Student Residences DAC is a wholly owned subsidiary company of University of Galway and is responsible for the management and operation of campus residences Dunlin Village, Goldcrest Village and Corrib Village, as well as the co-ordination of conferences and events across the campus.

Throughout the academic year, our accommodation is home to over 1,800 University of Galway students. During the summer, we welcome thousands of guests to the University campus for holidays, conferences, special events and summer schools.

Job Role

The position of the Accommodation Supervisor will comprise of roles and responsibilities over the contract period April-October 2024. There is a possibility of extending or making permanent this contract for the right person.

The main purpose of this role is to ensure that all guests receive service of the highest standard. Each member of the Accommodation Team plays a key part in ensuring that the entire premises is always safe, hygienic and efficient, all while maintaining a welcoming atmosphere and operating within budget. The Accommodation Team supports and works in partnership with all other departments, ensuring all standards and guest expectations are consistently met or exceeded.

· Atalia Student Residences’ housekeeping and maintenance team members

Main Responsibilities

· Continuously check in on all team members, assisting as needed to ensure the apartment or rooms are back in the system as required in line with daily arrivals.

· Attend daily team briefings and receive important information about the day ahead, as well as receive your daily assignment.

· Review list of allocations and schedule duties accordingly.

· Ensure that each room has been completely cleaned to the required standard and subsequently ensure that your manager is aware that the apartment/room is ready.

· Monitor supplies and stock daily and report/update Manager on same.

· Immediately assist housekeepers in the event of early arrivals to get rooms ready in real time and ensure that guests are not waiting to check in.

· Sign out any keys or equipment you receive for your shift.

· Your daily assignment may include maintaining public areas and public restrooms, in which case the public areas protocols must be strictly followed, including proper announcement of entering facilities and use of correct signage.

· Your daily assignment may include servicing stay over rooms, in which case, the stayover protocol must be strictly followed.

· Your daily assignment may include cleaning of rooms from which guests have departed, in which case the departures protocol must be strictly followed.

· Your daily assignment may include transferring linen to and from storage, in which case all laundry protocols must be strictly followed.

· Your daily assignment may include the lifting, moving and carrying of linen, furniture, or equipment, in which case all manual handling and health and safety protocols must be strictly followed.

· Ensure that corridors are always maintained in a clear and clean manner and ensure fire exits are always kept clear.

· Continuously communicate with your manager to ensure guests’ needs remain priority.

· Immediately report any request or feedback from a guest to your department manager.

· Ensure that all lost property is handed to the department manager at the end of each shift.

· Return and sign back in any keys at the end of the shift.

· Mentor/train new team members, encouraging and instructing them to learn the daily routine.

· Conduct training of new team members, in line with all Standard Operating Procedures and ensure this training is accurately documented.

· Arrive for duty well presented, meeting all personal hygiene standards.

· Always adhere to all hygiene and any other relevant standards and protocols, including while on breaks and in back of house areas.

· Communicate any issues clearly and promptly, to all relevant colleagues.

· Attend required training, both on site and online.

· Report any health or safety issues to your direct manager immediately.

· Ensure fire exits are always kept clear.

· Ensure that hallways/corridors are always neat and accessible.

· Use any equipment or chemicals in an appropriate and safe manner.

· Immediately report any accidents or incidents.

· Be professional, courteous and positive in all dealings with our guests.

· Be proactive and remain knowledgeable.

· Immediately do all you can to address and rectify any customer satisfaction concerns.

· Also immediately notify your manager of any customer satisfaction concerns.

· Reflect our values of appreciation and hospitality in every aspect of your role.
