Office Administration in the Security Industry

Office Administrator

We are looking for an experienced and highly organized Office Administrator to join our busy office team.

This is a varied role that will involve working closely with customers, engineers, subcontractors, suppliers and management. The successful candidate will be responsible for keeping information accurate and up to date, managing service contracts, preparing reports and ensuring that administration is completed efficiently and to a high standard.

You will need to be highly organized, able to manage multiple tasks and comfortable working in a fast-paced office environment.

Key Responsibilities

  • Managing customer queries and maintaining good customer communication
  • Managing and maintaining service contracts
  • Creating reports and maintaining accurate company records
  • Data entry and ensuring information is entered accurately
  • Preparing documents, reports and spreadsheets
  • Liaising with engineers, subcontractors, customers and suppliers
  • Following up outstanding jobs, paperwork and actions
  • Maintaining filing systems and company records
  • Supporting the scheduling and administration of ongoing works
  • Providing general administrative support to management and the wider office team
  • Assisting with the day-to-day running of a busy office
  • Working with existing computer systems and learning new software as required
  • Carrying out general administrative duties as required

Essential Skills & Experience

  • Previous office administration experience
  • Ability to prioritise tasks and manage competing deadlines
  • Comfortable working as part of a busy, fast-paced office team
  • Excellent communication skills, both written and verbal
  • Excellent Microsoft Office skills, particularly Excel, Word and Outlook
  • Comfortable using computer systems and learning new software
  • Ability to work independently while also contributing effectively to a team
  • Good problem-solving skills and a practical approach to getting tasks completed
  • A professional and friendly approach when dealing with customers, engineers and suppliers
