Luca Line Services is Hiring – Project Coordinator & Office Administrator (EWI / SEAI Retrofit)

Luca Line Services is seeking an organised and proactive Project Coordinator & Office Administrator to join our growing retrofit and External Wall Insulation (EWI) team at our new unit in Rathcoole.

The ideal candidate will have experience in construction administration, accounts, and SEAI/retrofit project coordination, with the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

Project Coordination (EWI & SEAI-Focused)

* Assist in planning, scheduling, and tracking EWI retrofit projects in line with SEAI requirements.

* Liaise with SEAI, clients, contractors, suppliers, and surveyors to ensure smooth project delivery.

* Prepare and manage project documentation, grant applications, compliance paperwork, and inspection scheduling.

* Ensure all works are completed to SEAI standards and deadlines.

Sales & Client Administration

* Manage all incoming private sales enquiries via phone, email, and text.

* Qualify leads, complete follow-ups, and maintain accurate records on Pipedrive CRM.

* Coordinate surveys and appointments with surveyors and installation teams.

* Prepare quotations, send official documentation, and follow up to convert leads into sales.

* Take deposits, process final payments, and issue receipts.

Accounts & Office Administration

* Handle day-to-day office operations including emails, calls, filing, and correspondence.

* Manage invoices, supplier payments, project expenses, and basic accounts administration.

* Maintain accurate project files, records, and office systems.

* Support payroll preparation and liaise with external accountants where required.

* Assist with HR administration including interview scheduling and onboarding new employees.

What We’re Looking For

* Experience in External Wall Insulation (EWI), retrofit, construction, or SEAI-related projects.

* Strong administration, project coordination, and accounts experience.

* Knowledge of SEAI grant processes and compliance requirements preferred.

* Excellent communication and organisational skills.

* Proficiency in Google Workspace, Pipedrive, and project management tools.

* Ability to multitask, prioritise workload, and work independently.
