Role overview

To provide essential administrative, sales, and operational support across the business, ensuring accurate order processing, efficient customer service, smooth logistics coordination, and robust back-office administration. The role is critical to maintaining high service levels for capital equipment sales, field engineering operations, and business support functions.

Key tasks

Sales & Purchase Order Management

  • Generate accurate sales orders and sales invoices for capital equipment.
  • Resolve invoice queries on a timely basis
  • Process capital delivery bookings and clearly label customer and job references.
  • Process credit notes, ensuring all relevant paperwork is routed for POS signoffs.
  • Raising supplier purchase orders with suppliers, passing supplier invoices on receipt of goods and dealing with supplier queries on a timely basis.
  • Coordinate transport logistics for both incoming and outgoing equipment orders.
  • Liaise with internal teams for necessary POS-RD-MOB equipment order finalizations.

General Office & Engineering Administration

  • Act as the primary point of contact by answering and routing phone calls.
  • Complete engineer portals, inductions, and compliance profiles as required.
  • Manage and monitor safe passes and manual handling records for engineers.
  • Book hotels, flights, and travel arrangements for field engineers and corporate colleagues.
  • Handle inbound and outbound installation calls in a professional and timely manner.
  • Liaise with field engineers to ensure a smooth flow of information
  • Support and assist Sales Representative administration

Financial & Visa Operations

  • Facilitate Visa purchase payments in co-ordination with approved accounts personnel.
  • Log, reconcile, and maintain the internal Visa transactional sheets daily.
  • Track external documentation to ensure all associated Visa purchase invoices are received.

Vehicle & Fleet Administration

  • Coordinate commercial van maintenance routines, fleet data, vehicle tax, and insurance.
  • Distribute, track, and manage fuel card allocations and toll tag accounts.

Pay: €30,000.00-€35,000.00 per year
