About Us

At Shields Dental Clinic, we are committed to delivering exceptional patient care and creating outstanding experiences from the very first interaction. As our practice continues to grow, we are seeking an enthusiastic and organised New Patient Coordinator to join our team and play a key role in supporting both patient experience and business growth.

About the Role

This is a dynamic and rewarding position that combines new patient coordination, front-of-house communication, and business development support. The successful candidate will be responsible for managing new patient enquiries, ensuring a seamless patient journey, and helping convert enquiries into booked consultations.

Working closely with our Marketing, Clinical, and Reception teams, you will contribute directly to the continued success and growth of the practice while maintaining the high standards of service our patients expect.

Key Responsibilities

  • Manage and respond to new patient enquiries via phone, email, website, and social media channels.
  • Convert enquiries into booked consultations through professional and proactive communication.
  • Follow up on patient enquiries and treatment consultations to maximise appointment bookings.
  • Support diary management and appointment scheduling to optimise clinic capacity.
  • Deliver an exceptional first impression and patient experience at every touchpoint.
  • Assist with patient retention initiatives and ongoing communication.
  • Maintain accurate patient records and enquiry tracking systems.
  • Collaborate with Marketing, Clinical, and Reception teams to support practice growth objectives.
  • Ensure all patient interactions reflect the clinic's values and commitment to outstanding care.

About You

  • Confident communicating with people both in person and over the phone.
  • Proactive in following up enquiries and building rapport with prospective patients.
  • Comfortable managing multiple tasks in a fast-paced environment.

  • A strong team player who enjoys contributing to shared goals.

Skills & Experience Essential:

  • Excellent verbal and written communication skills.
  • Strong organisational and administrative abilities.
  • Strong commercial acumen.
  • Professional telephone manner.
  • Competent with computer systems and digital communication platforms.
  • Ability to multitask and prioritise effectively.

Desirable:

  • Previous experience in a customer-facing, reception, sales, hospitality, healthcare, or patient care role.
  • Business development experience
  • Experience working in a dental, healthcare, or clinical environment.
