Spencer Recruitment is partnering with our client, a leading sporting organisation, to appoint a Facilities Executive.

This is a key operational role within a fast-paced organisation, responsible for ensuring office facilities run smoothly and efficiently. The successful candidate will play a central part in ensuring that staff, athletes, and visitors experience a safe, well-maintained, and welcoming environment every day.

Reporting to the Chief Financial Officer, the postholder will oversee facilities operations across multiple sites, with responsibility spanning health and safety compliance, fleet management, and office and IT coordination.

The Role

  • Act as the main point of contact for staff and athletes across office facilities
  • Coordinate planned and reactive maintenance with external contractors
  • Monitor building systems and conduct regular site inspections
  • Act as designated Health and Safety Officer and Fire Safety Manager
  • Manage the domestic car fleet and related insurance policies
  • Oversee office space, IT coordination, mobile phones and laptop management
  • Contribute to sustainability initiatives and continuous improvement
  • Manage facilities and event budgets in a cost-effective manner

Key Responsibilities

Facilities Operations

  • Support day-to-day management across multiple sites
  • Maintain close relationships with stakeholders at each facility
  • Track contractor performance and ensure work is completed to required standards
  • Monitor building systems (air conditioning, alarms/security, lighting, access control)
  • Conduct regular premises inspections to identify hazards and improvement opportunities

Health, Safety and Compliance

  • Maintain compliance with health and safety regulations, including record-keeping and reporting
  • Participate in fire drills, safety audits, and incident investigations
  • Support implementation of safety procedures, emergency plans, and risk assessments
  • Recruit and manage Fire Safety Officers and First Aiders
  • Act as first responder to alarm call-outs outside of normal office hours

Fleet Management

  • Manage the domestic car fleet and insurance policies
  • Act as point of contact for lease and insurance providers
  • Issue guidance to drivers on processes for accidental damage

Office Space and IT Management

  • Assist with office layout planning, desk moves, and space utilisation
  • Manage stock levels of office supplies and consumables
  • Coordinate meeting room setup, event logistics and catering
  • Manage relationship with external IT helpdesk
  • Oversee mobile phone and laptop management for new and existing staff

About You

  • Minimum 3 years' experience in a similar facilities role
  • Knowledge of current Health and Safety regulations
  • Strong organisational and multitasking abilities
  • Excellent communication and problem-solving skills
  • Ability to build effective working relationships with key stakeholders
  • Energetic, reliable, and self-motivated with a positive, can-do attitude
  • Proficiency with standard office software (Outlook, Excel, Teams)
  • Flexibility to work outside normal office hours when required
  • Third level qualification in Facilities Management or Health and Safety (desirable)
  • Interest in or experience of working in a dynamic sports environment (desirable)
