Full job description

Overview

We are seeking an Administrator to assist in day-to-day operations of a busy GP practice in Castlepollard, Co. Westmeath. The successful candidate will have a minimum of 1 years’ administration/medical secretary experience within a GP setting in Ireland, and will be trained in understanding Irish primary care systems, GMS/DVC processes, and HSE reporting requirements.

We are open to both full-time and part-time applications for this role.

Key Responsibilities

1. Operations

  • Assist in daily running of the practice to ensure smooth, efficient operations.
  • Ensure compliance with HSE, GDPR, HIQA (where applicable), and other regulatory requirements.
  • Implement and maintain effective administrative systems and procedures.
  • Support GPs and clinical staff in delivering high-quality patient care.
  • Manage supplier relationships and service contracts.

2. Reception & Front-of-House Oversight

(Hands-on involvement required where necessary)

  • Answer and manage incoming phone calls in a professional manner.
  • Record messages accurately and pass to the relevant GP or staff member.
  • Accept and record patient payments (cash, card, online where applicable).
  • Ensure correct verification of GMS/DVC eligibility and private patient payments.

3. Secretarial & Administrative Duties

  • Manage practice appointment scheduling and capacity planning.
  • Make and amend practice appointments using Socrates.
  • Issue letters, medical certificates, referral letters, and reports.
  • Follow up on results, hospital correspondence, and reports.
  • Ensure timely scanning, coding, and processing of all clinical documentation.
  • Maintain accurate patient records in compliance with GDPR.

6. General Practice Duties

  • Attend work at agreed days and times.
  • Participate in management meetings and contribute to practice planning.
  • Support quality improvement initiatives and operational efficiency projects.
  • Undertake additional duties appropriate to the role as required.

Essential Requirements

  • Minimum 1 year administration/medical secretary experience GP practice in Ireland.
  • Good IT skills (Microsoft Office, email systems, secure document handling).
  • Excellent communication skills (verbal and written).
  • Highly organised
  • Ability to work independently
