Executive Assistant
Overview
We are currently seeking a highly organised and proactive Executive Assistant to support the smooth running of a busy Dublin office while providing comprehensive support to four senior executives and a wider team of Real Estate professionals.
This is a fast-paced and dynamic role, suited to someone who thrives on multitasking, takes initiative, and brings a high level of professionalism and attention to detail.
For You:
- Location: Dublin (1 day from home)
- Salary: €55,000 + DOE
- Job Type: Permanent
Key Responsibilities
- Manage complex and ever-changing calendars for four senior executives
- Provide full administrative support to a team of approximately 13 professionals
- Coordinate domestic and international travel, including flights, visas, accommodation, and itineraries
- Act as a key point of contact between executives and internal/external stakeholders
- Manage correspondence, prepare reports, and handle expenses
- Organise corporate events including board meetings, investor events, and VIP visits
- Prepare presentations, proposals, and meeting materials
- Support meeting preparation, including agenda setting, minute taking, and follow-up actions
- Liaise with IT and internal teams to resolve office-related issues
- Assist with ad hoc administrative tasks and projects as required
- Collaborate with administration teams across multiple locations to improve processes and systems
About You
- Minimum 3 years’ experience in a similar Executive Assistant role
- Proven experience supporting senior stakeholders in a fast-paced environment
- Exceptional organisational skills with the ability to manage multiple priorities
- Strong interpersonal skills with the ability to build relationships at all levels
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and confidentiality
- Proactive, resourceful, and solutions-focused mindset
- Calm and composed under pressure
Key Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong time management and multitasking abilities
- High attention to detail and accuracy
