Full job description

Job Title: Executive Assistant

Location: Dublin City Centre (office-based)

Job Type: Full-time, permanent

Salary: €40,000 – €50,000 per year, depending on experience, with genuine scope to progress beyond this range

Schedule: Monday to Friday, 9.00am – 6.00pm

About the Opportunity

You will work with the two Directors of an established Dublin recruitment firm who are moving from full-time executive roles to more varied role dealing with a number of businesses. They are looking foran exceptional person to become their right hand across all of their business interests. In addition to some day-to-day tasks, you will gather information, analyse it, form a view and make recommendations — and you will be trusted with real responsibility from day one. It is the most senior non-management support role in the business.

What You Will Do

  • Act as the central organiser of the Directors' projects, ensuring no action, deadline or commitment is ever overlooked.
  • Work in the accounts department on the monthly accounts process and day-to-day financial administration, using strong Excel skills.
  • Administer a rental property portfolio: insurance renewals, compliance, RTB registrations, rates, utilities and liaison with letting agents and contractors. This will include researching the property market for suitable properties to purchase.
  • Draft board papers, letters, proposals and policies for the Directors' approval.
  • Support the Directors in recruitment: reviewing CVs, arranging interviews, checking references and preparing offers to internal staff.
  • Champion AI and automation — finding better, faster ways of doing things across the business.
  • Deal directly with solicitors, accountants, banks, insurers, letting agents and government bodies on the Directors' behalf.

Requirements

  • 1-2 years experience in a similar role
  • Strong business administration experience, ideally supporting a senior executive or business owner.
  • Comfortable with accounts work and advanced in Excel.
  • A genuine enthusiast for AI tools and what they can do for a business.
  • An excellent writer, researcher and analyst — confident forming and defending a recommendation.
  • Naturally curious, energetic, highly organised, commercially minded and calm under pressure.
  • Above all, flexible: comfortable with ambiguity, shifting priorities and a fast-moving entrepreneurial environment.
  • Property administration experience is a plus, but not essential.
  • Have experience in a fast paced environment dealing with sensitive information and managing several priorities simultaneously

Why Apply

  • Rare breadth: recruitment, property, finance, HR, legal, technology and new ventures — all in one role.
  • Work directly with the owners on everything that matters most to the business.
  • €40,000 – €50,000 depending on experience, with clear scope to progress beyond this within 18–24 months for an exceptional performer.
  • A role designed to grow: the better you make the business run, the bigger the role becomes.

How to Apply

Please apply through Indeed with your CV and a short cover note telling us about (1) a time you took something off a busy person's plate completely, and (2) how you have used AI tools to save time or improve quality in your work.

All applications will be treated in strict confidence.
