ABOUT THE ROLE

Cape Wrath Hotel Unlimited is seeking an organised and detail-focused Operations Administration Officer to support the daily administration, reporting and coordination of the site. This is a busy onsite role that requires accuracy, confidentiality, strong follow-up and the ability to work with multiple teams and agencies throughout the working day.

What you will be doing

  • Reviewing and updating daily Floor Manager Reports, Serious Incident Reports and operational records.
  • Maintaining key spreadsheets for resident information, medical absences, incidents, warnings, assets, stock and toiletries.
  • Checking information against IPAS correspondence and the Bed Management System to ensure records are accurate and consistent.
  • Monitoring shared inboxes and responding to, filing or escalating requests appropriately.
  • Coordinating meeting room bookings, room layouts, accessibility requirements and IT requirements with internal and external stakeholders.
  • Logging maintenance, environmental and facilities issues and following up to ensure they are addressed.
  • Supporting toiletries distribution, post, lost property, stock checks, notices and other daily site administration.
  • Preparing information and statistics for management reports, monthly returns and operational updates.

The person we are looking for

  • Highly organised, accurate and comfortable working with detailed information.
  • Strong administration experience with good knowledge of Microsoft Office, spreadsheets, shared inboxes and electronic filing.
  • Able to handle confidential information appropriately and professionally.
  • Clear communicator who can liaise with Security, Reception, FMU colleagues, Hotel Management, HSE/SafetyNet, AP and other agencies.
  • Calm under pressure and able to prioritise competing tasks in a busy operational environment.
  • Proactive, reliable and able to follow issues through to completion.
  • Previous experience in accommodation, facilities, reception, public service, IPAS or a similar operational setting would be an advantage.
