Full job description
We are currently recruiting for an experienced Reservations Agent for our busy 4* hotel, located in Kilkenny City. The ideal candidate will be enthusiastic, hardworking, and motivated individual with a positive can-do attitude, and genuinely enjoy working as part of a team. You will be reporting directly to our Front Office Manager and Revenue Manager. The hours of work for this role are 9-5.30pm and from 11.00am to 19.30pm, 5 days over 6 roster from Monday to Saturday.
Duties and responsibilities include:
· Assist to manage the day to day operations in the reservation’s office
· Assist in the maximisation of room revenue, occupancy and yield management
· Working closely with the Revenue Manager and Front Office Manager to ensure the efficient running of the department
· Ensure reservation department and Front Office staff are constantly aware of availability, on request, close out dates, high demand dates etc.
· Respond to all guest reservation requests within the agreed time frame and execute prompt, courteous and accurate guest service at all times.
· Full knowledge about hotel rooms, rates, promotions, amenities, programs, hotel facilities and services.
· Monitor systems that are set up within the reservations department to ensure accurate handling and monitoring of phone calls, emails and all other sources of communication
· Report any issues, failures, breaches of the above
· Assisting and preparing of groups, weekly group forecast, process and preparing group rooming lists, deposits, prepayments and contracts
· Attending all scheduled meetings as required and effectively communicate action plans to Reservations and Front Office
· Monitoring of all online bookings from all online channels including hotel website, OTA, GDS and other third party websites and report any anomalies
· Update No-shows and cancellations on all OTA's to avoid any unwanted commissions and maximize room revenue
· Understand and enforce hotel and company credit policies and ensure correct billing instructions, routing instructions and payment methods are applied to all reservations.
· Ensure all reservation requests are processed as per the hotel standards
· Assist in ensuring confirmation letters and contracts are sent for all bookings within the department
· Monitor all tentative / provisional / waitlisted bookings, follow up on deposits and signed contracts and update the hotel systems as necessary
· Recording and filing of all reservation correspondence neatly and accurately on prescribed forms, folders and provided hotel software
· Ensure all reservation modifications are updated on the PMS immediately and accurately.
· Process contracts detailing room allotments and create allotments on the hotel management system.
· Assist in training of Reservation’s and Front Office staff
· Ensure deposit payments and pre-authorizations are taken in advance for hotel reservations if applicable, e.g.: Direct reservation, OTA's (Booking.com, Orbitz, Expedia etc.)
· Assist with cross checks of bookings regarding correct market segmentation, sources code, price codes, rates, etc.
· Maintain GDPR compliance within the department and assist if necessary to train staff and develop relevant SOPs
· Monitor data input into the hotels database ensuring accuracy, compliance and relevance
· On occasion you may be required to cover the front desk

- Guestline software experience is an advantage.
