Job description:

The Hotel Receptionist is the first point of contact for guests and plays a vital role in creating a welcoming and professional first impression. This position is responsible for delivering exceptional customer service by managing guest arrivals and departures, handling reservations, responding to enquiries, and ensuring guests enjoy a comfortable and memorable stay. The receptionist works closely with all hotel departments to provide efficient service while maintaining the high standards expected of a 4-star hotel, while reporting to the Front Office Manager.

Key Duties and Responsibilities:

  • Welcome guests with a warm, friendly, and professional attitude.
  • Complete check-in and check-out procedures accurately and efficiently.
  • Manage room reservations, cancellations, and amendments using the hotel's property management system (HotSoft).
  • Answer telephone calls, emails, and guest enquiries promptly and professionally.
  • Process payments, issue invoices, and maintain accurate financial records.
  • Allocate rooms according to guest preferences and hotel availability.
  • Provide information about hotel facilities, local attractions, transport, and nearby amenities.
  • Handle guest requests, concerns, and complaints promptly, ensuring high levels of customer satisfaction.
  • Liaise with housekeeping, maintenance, food and beverage, and other departments to ensure seamless guest service.
  • Promote hotel facilities, room upgrades, and special offers to maximise revenue.
  • Maintain accurate guest records while ensuring confidentiality and compliance with data protection policies.
  • Prepare shift reports and ensure effective communication during shift handovers.
  • Follow all hotel health and safety, security, and emergency procedures.
  • Maintain a clean, organised, and welcoming reception area at all times.

Skills and Qualifications:

  • Excellent customer service and communication skills.
  • Professional appearance and positive attitude.
  • Strong organisational and multitasking abilities.
  • Ability to remain calm and professional under pressure.
  • Competence in using hotel reservation and property management systems.
  • Good computer skills, including Microsoft Office.
  • Cash handling and payment processing experience.
  • Flexibility to work shifts, including evenings, weekends, and public holidays.
  • Previous experience in hospitality or front office operations is required.

Working Conditions:

This role requires working on a rotating shift pattern, including mornings, evenings, weekends, and public holidays. The position involves standing for extended periods, interacting with guests from diverse backgrounds, and maintaining the high service standards expected in a 4-star hotel environment.
