About Moyvalley Hotel & Golf Resort

Moyvalley Hotel & Golf Resort is one of Ireland's premier countryside destinations, set on 550 acres of beautiful parkland in North Kildare. We are seeking an enthusiastic, organised, and customer-focused Events Coordinator to join our team and support the successful planning and delivery of weddings, conferences, corporate events, and special occasions in a dynamic and professional environment.

Role Overview

The Events Coordinator provides administrative and operational support to the Sales and Events Department, ensuring the smooth coordination of events from initial enquiry through to execution. This role is ideal for an organised individual who thrives in a fast-paced hospitality setting, enjoys building relationships with clients, and can manage multiple priorities while delivering outstanding customer service.

Key Responsibilities

  • Provide day-to-day administrative support to the Events Department.
  • Respond promptly and professionally to wedding, corporate, conference, and event enquiries.
  • Prepare proposals, contracts, quotations, function sheets, and client correspondence.
  • Monitor event enquiries and ensure timely follow-up to maximise conversion opportunities.
  • Maintain accurate customer records within the hotel's CRM and property management systems.
  • Coordinate site inspections, client meetings, and show-rounds of the resort.
  • Liaise closely with Reservations, Reception, Food & Beverage, Accommodation, Golf, and Operations teams to ensure seamless event delivery.
  • Assist in the coordination of weddings, conferences, corporate events, golf groups, and private functions.
  • Support the preparation of presentations, promotional materials, and sales initiatives.
  • Maintain client databases and ensure all records are up-to-date and GDPR compliant.
  • Ensure all documentation is completed accurately and in accordance with company procedures.
  • Provide operational support during key events as required.
  • Undertake any other duties reasonably requested by Management.

Skills & Experience

  • Previous experience in hospitality, events, sales administration, or a similar customer-facing role.
  • Excellent organisational and time management skills.
  • Strong verbal and written communication abilities.
  • High level of attention to detail and accuracy.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to manage multiple tasks effectively and work to deadlines.
  • Professional, friendly, and customer-focused approach.
  • Strong interpersonal skills and the ability to build relationships with clients and colleagues.
  • Experience working with hotel reservation or event management systems would be an advantage.
