Fulfilment & Logistics Lead Online Order Fulfilment & Warehouse Operations · Unit K7

Role overview

Lynott Jewellery is a multi-store Irish jewellery retailer operating concessions and stores at Arnotts, BT2 Blanchardstown, Brown Thomas Cork, BT Limerick and BT Dundrum, served by a central warehouse and online fulfilment hub at Unit K7.

The Fulfilment Manager owns the end-to-end fulfilment of online orders from Unit K7 and is the operational engine room of the business: getting every web order picked, packed and dispatched to standard, keeping Shopify inventory accurate across all locations, running weekly stock transfers out to the stores, and embedding the company's new policies and procedures across the warehouse and store network. It is a hands-on, Monday-to-Friday role leading a small fulfilment team and working daily with both the store teams and head office.

Purpose & key objectives

Success in the role is measured against a clear set of operational goals that protect both the customer experience and the bottom line:

  • Same-day dispatch standard — every order placed up to 12:00 midday is processed the same day, along with all of the previous day's orders, working to a next-day dispatch standard (clear yesterday first, then today to midday).
  • Never oversell online — keep Shopify inventory accurate at all times so the website never sells stock that isn't physically there.
  • Zero products in Draft — no sellable line sitting unpublished or stranded.
  • NOOS list never out of stock — the Never-Out-Of-Stock core range is always available online.
  • Zero customer contacts per day caused by fulfilment errors — right first time, every time.
  • Lower courier cost and inefficiency — through accurate stock, efficient routing and getting orders out correctly first time.
  • Pick & pack efficiency — a one-way pick→bench→dispatch system with a target of ~30 seconds packing per order and walking reduced by ~60%.

Key responsibilities1. Online order fulfilment & dispatch

  • Own the daily online order pipeline from Unit K7 — monitor incoming Shopify orders and work to the same-day / next-day dispatch standard, clearing the previous day's orders first.
  • Operate and enforce the batch pick-then-pack method (working in batches of ~10 orders — pick everything, then pack everything).
  • Maintain the one-way pick → pack bench → dispatch flow so staff never cross paths, keeping the ~30-seconds-per-order packing target with a pre-stocked bench.
  • Ensure packaging is completed exactly to the Fulfilment Manual — all plastic removed, tissue in every parcel, gift boxes foam-fitted — so every parcel reflects the brand.
  • Manage courier hand-overs, dispatch cut-offs and same-day collections; control courier cost and resolve any dispatch exceptions.
  • Scan every item to fulfil at both pick and pack so Shopify stock stays accurate and the business never oversells.

2. Pick & pack and warehouse logistics

  • Run the day-to-day warehouse operation at Unit K7 — receiving deliveries, putaway, bench replenishment, packaging stock and dispatch area.
  • Maintain the shelf / bin location system so every SKU has a known home; keep the `shelf_location` and `bin_location` data current as items move (the daily audit app writes these to Shopify metafields automatically).
  • Keep pick lists in shelf→bin order so the team picks the most efficient route with the scan app.
  • Manage packaging consumables — monitor levels, run the weekly packaging stock-take and the monthly packaging purchase order so the bench never runs short.
  • Maintain a safe, tidy, audit-ready warehouse with clear zones for incoming, pick, pack and dispatch.

3. Inventory accuracy & stock control

  • Be accountable for stock accuracy across all six Shopify locations, holding the group to the 90% daily audit accuracy target and quarterly KPI.
  • Oversee the Daily Stock Audit process (weight-scales counting app) for Unit K7 and chase open issues to resolution; ensure the 9am reminder, 5:30pm group summary and Monday weekly summary land correctly.
  • Reconcile in-store sales deductions, returns add-backs and any manual adjustments so physical stock and Shopify match.
  • Investigate and resolve discrepancies, miscounts and packaging-weight anomalies (e.g. box/pouch tare in the audit app) before they cause an oversell.

4. Store transfers & inter-store logistics

  • Run the weekly K7 → store stock transfers (Arnotts, BT2, Cork, Dundrum, Limerick), driven by the Monday transfer report's live Shopify stock and sales velocity.
  • Generate and work the per-store pick lists (SKU, product, variant, qty, K7 shelf & bin) and confirm picked quantities via the scan app.
  • Prioritise out-of-stocks and below-minimum stores so the shop floor is never short of core lines.
  • Manage inbound transfers back to K7 — returns, faulty/exchange pieces and monthly engraving-practice stock — accepting each transfer against what was logged.
  • Coordinate timing and logistics of transfers with couriers and store teams to minimise cost and disruption.

5. Systems & Shopify integration

  • Be the operational owner of the Shopify Admin / multi-location inventory for fulfilment — orders, inventory levels, locations, collections, tags (e.g. the OOS and NOOS collections) and product status.
  • Run and maintain the supporting Google Apps Script tools and automations: the Daily Stock Audit web app, the daily in-store sales → Shopify deduction, the weekly transfer report, and the purchase-order automations.
  • Operate the Gifting / PR log and Just Eat product log scan apps that deduct stock live from Shopify per location and log every entry.
  • Keep the Business Hub (Stock, Fulfilment and People sections) and its Google Drive folders current so the team always has the latest guides and forms.
  • Liaise with whoever maintains the automation scripts to deploy changes, and flag any failed or missing automated runs (e.g. a daily report that hasn't landed).

6. Policies, procedures & continuous improvement

  • Continue the rollout and embedding of the company's new policies and procedures across the warehouse and stores — keeping the Fulfilment Manual, Handbook, Quick FAQ and briefing materials aligned and in use.
  • Maintain and improve the fulfilment SOPs — Pick & Pack one-pager, Shopify Transfers how-to, Faulty Log how-to and packaging procedures.
  • Uphold company rules such as Unit K7 online gifting being uploaded as a Shopify order so stock deducts automatically, and returns being logged correctly.
  • Identify inefficiencies and drive improvements (layout, routing, packing time, courier cost) and document them so they stick.

7. Team leadership

  • Lead, schedule and motivate the small Unit K7 fulfilment team, setting clear daily priorities and the standards on the wall.
  • Train new joiners on pick & pack, scanning, audits and packaging standards; use engraving-practice stock for hands-on training.
  • Run daily check-ins, hold the team to the published goals, and keep workload balanced through peak periods.
  • Be the named point of contact for stock/barcode queries (with Kaci as barcode contact) and escalate appropriately.

8. Working with store & head office teams

  • Act as the bridge between Unit K7, the six store teams and head office — communicating clearly on stock, transfers and dispatch.
  • Provide and act on the daily and weekly stock, audit and transfer reports shared with Lauren, Amanda Christie and reports@.
  • Support store teams with replenishment, transfers, faulty/exchange handling and customer-service stock checks.
  • Work with PR/marketing on gifting and influencer requests, ensuring stock is deducted and logged correctly.

Person specificationEssential

  • Proven experience in fulfilment, warehouse, stock control or e-commerce operations, ideally with a small team to lead.
  • Confident with Shopify (or a comparable e-commerce/inventory platform) and multi-location inventory.
  • Strong systems aptitude — comfortable with web apps, spreadsheets, barcode scanning and light automation; able to spot and report when something isn't running.
  • Highly organised and accurate, with a stock-controller's eye for detail and discrepancy-hunting.
  • A hands-on leader who sets standards, trains a team and keeps a tidy, efficient operation.
  • Clear communicator able to work across warehouse, store and head-office teams.
