Petro Systems Management Ltd is a well-established and highly respected Service, Maintenance & Installations Company, is a leading provider of Fuel Management Systems in Ireland and we are seeking an organised and proactive Project & Logistics Coordinator to join our team based in Macroom, Co. Cork. Operating as both an engineering contractor and a premium equipment supplier, we deliver critical infrastructure solutions to retail forecourts and commercial oil depots across Ireland.
This is a fully office-based position where you will act as the operational hub of our company, supported by other office administrators. You will bridge the gap between daily field activities and project delivery by managing field engineer schedules, overseeing equipment procurement, handling customer troubleshooting queries, and keeping project timelines on track.
Key Responsibilities
1. Field Logistics & Scheduling
- Coordinate, plan, and optimize the daily and weekly calendars for our team of field service engineers.
- Act as the primary dispatcher for urgent maintenance, emergency breakdowns, and scheduled site works.
- Ensure all engineering visits align with client Service Level Agreements (SLAs) and site access permissions.
2. Project Coordination & Procurement
- Support project management by tracking timelines, milestones, and deliverables for forecourt and depot installations.
- Manage the end-to-end procurement of specialised engineering equipment, parts, and materials from global and local suppliers.
- Monitor supply chain timelines to ensure materials arrive on-site precisely when needed to prevent project delays.
3. Customer Service & Technical Helpdesk
- Act as the key office-based point of contact for clients, managing queries and troubleshooting issues from forecourt managers and oil depot operators.
- Validate customer issues to log accurate information, resolving minor technical queries or escalating complex issues to senior engineers.
- Provide high-quality, professional communication regarding job progress, ETA of engineers, and parts availability.
4. Compliance & Administration
- Ensure all scheduled works comply with strict engineering and construction safety standards.
- Maintain accurate records of site assets, service histories, procurement invoices, and client sign-offs within our CRM system.
Requirements & Qualifications
- Industry Experience: Minimum of 2–3 years of experience in an administrative, coordination, or logistical role within the engineering, construction, or utility sectors.
- Work Style: Able to commute daily to our Macroom office for a full-time, office-based schedule.
- Education: A qualification in Business Administration, Logistics, Supply Chain, or an Engineering-related discipline is highly advantageous.
- Safety Awareness: Solid understanding of construction site health and safety practices. A valid Irish Safe Pass is preferred.
- Technical Aptitude: Ability to comfortably learn fuel industry terminology, equipment specifications (pumps, gauges, pipework), and site compliance regulations.
- Software Skills: Proficiency with ERP/CRM databases, field service scheduling systems, and Microsoft Office (specifically Excel and MS Project).
- Communication: Exceptional verbal and written English communication skills, with a proven ability to manage high-pressure client situations calmly.
Pay: €40,000.00-€55,000.00 per year
