Full job description

Hollyfort has been providing construction and facility support services across Ireland since 1998. Founded as a family business and now led by the second generation, we have built a strong reputation for construction, renovation, and 24/7 maintenance services across the healthcare, education, and public sectors.

With a direct team of over 60 and a network of expert partners, we manage everything from emergency maintenance to large-scale refurbishment projects.

As we continue to expand our team, we are seeking a Construction Project Coordinator to join our team.

Responsibilities

  • Coordinate information.
  • Order materials and ensure timely delivery to the job site.
  • Assist with change order preparation and documentation
  • Break projects into defined deliverables in accordance with project governance, assign actions, and set delivery timeframes.
  • Manage project documentation on site and in the office, including RFIs, submittals, drawings, change orders, and other key records.
  • Schedule and document project meetings, distribute minutes, and track action item completion.
  • Ensure clients’ needs are met throughout the project lifecycle.
  • Assist in budget preparation.
  • Analyse risks and opportunities, monitor project progress, and escalate potential delays or discrepancies as required to site management
  • Maintain and update project data using systems such as Procore, SharePoint, and Excel trackers.
  • Maintain accurate project files (digital and physical)
  • Ensure compliance with health, safety, and quality standards, supporting audit readiness and documentation control.
  • Support onboarding and training of team members on digital tools, workflows, and project systems.
  • Support quality control processes
  • Develop reports and presentations, including weekly and monthly status updates highlighting key issues and risks.
  • Act as the point of contact and communicate project status to all participants.

This role will be based in our Dublin 12 office, with travel to project sites as required.

Requirements

  • Bachelor’s degree (e.g., Construction Management, Engineering, Business) or equivalent experience in project coordination/administration.
  • Strong organisational skills, attention to detail, and solid documentation experience.
  • Excellent communication and teamwork skills, with a proactive, problem-solving mindset.
  • Basic understanding of construction processes; previous site experience or administrative roles are an advantage.
