Birchview Surgery is currently seeking experienced & enthusiastic applicants for the role of Medical Secretary/Receptionist on a part-time (3 days a week) permanent basis with an immediate start.

The role of medical secretary reports directly to the Practice Manager.

This exciting role provides support to the Practice Doctors and Nurses along with providing excellent care & exemplary customer service to our patients.

Responsibilities include but are not limited to;

  • Managing the patient appointment schedule
  • Telephone, email and face to face communication with patients
  • Point of contact with HSE & third party suppliers
  • Invoicing patients and reconciling accounts
  • HSE/GMS & other State Contract claiming
  • Scanning and management of correspondence for patient files
  • Managing & maintaining confidential patient information
  • Providing administrative support to GP's
  • Taking payments and end of day cash reconcilliation
  • Dealing with correspondence and general queries from patients
  • Completion of forms
  • General office administration including typing, filing, scanning etc.
  • Managing complaints

Essential criteria

  • Minimum of 2 years experience working in a similar role
  • Professional & self motivated
  • Excellent written/verbal communication & interpersonal skills
  • Exceptional telephone manner & customer service skills
  • Punctual & reliable
  • IT proficient - familiar with MS suite including Excel/Word.
  • Ability to work under pressure & multitask in a busy working environment
  • Attention to detail
  • Problem solving ability
  • Ability to work in a team environment and also use initiative
  • Comprehension of email etiquette & GDPR regulations
  • Fluent spoken & written English
  • Team player who is flexible and supportive
  • Excellent organisational ability

Desirable criteria

  • Health One practice management software experience is desirable but not essential
  • Knowledge of medical terminology

Working schedule expected Tues/Thu/Fri.

Favorable salary commensurate with experience.
