Job Description – Project Handover & Document Control Coordinator

About the RoleThe Project Handover & Document Control Coordinator is responsible for the effective management, control, and maintenance of project documentation throughout the project lifecycle, with particular emphasis on project handover and close-out documentation. The role ensures that all project documentation and handover information are accurately controlled, maintained, and issued in accordance with project and client requirements.
The successful candidate will support project teams and management by maintaining document control systems, coordinating project handovers, conducting compliance audits, and promoting best practice document management across the business.
Key responsibilities
Project Handover Management
- Lead the compilation, coordination, and completion of project handover documentation.
- Establish and maintain project handover trackers and schedules.
- Liaise with project teams, consultants, subcontractors, and suppliers to obtain all required handover information.
- Review submitted documentation for completeness, accuracy, and compliance with project requirements.
- Monitor handover progress and report status to project management teams.
Document Control
- Manage and maintain the company's document management systems, ensuring all project documentation is correctly controlled.
- Validate incoming project documentation and ensure revision control procedures are followed.
- Support project teams with document management processes and system administration.
- Assist in the implementation and continual improvement of document control procedures.
Quality & Compliance Support
- Conduct periodic project documentation audits to verify compliance with company procedures and quality management requirements.
- Prepare audit findings and reports for review by the Quality Manager.
- Assist in monitoring corrective actions arising from audits.
- Support ISO 9001 quality management activities and document retention requirements.
- Assist with BCAR and regulatory compliance documentation where required.
Training & Support
- Provide guidance and training to project teams on document control procedures and systems.
- Support new employees and project teams in the use of document management platforms.
- Act as a point of contact for document control and project handover-related queries.
Continuous Improvement
- Produce reports and key performance indicators relating to document control and project handovers.
- Assist with the development and improvement of company procedures and templates.
- Support departmental initiatives focused on quality, compliance, and operational excellence.
- Undertake other duties as required by management.
Skills & Experience
Essential
- Experience in document control, project administration, quality administration, or construction project support.
- Strong organisational and administrative skills with excellent attention to detail.
- Experience managing large volumes of documentation and maintaining accurate records.
- Proficiency in Microsoft Office Suite.
- Strong communication and coordination skills.
- Ability to work independently and manage multiple priorities simultaneously.
Desirable
- Experience within the construction sector.
- Familiarity with document management platforms such as Procore, Autodesk Construction Cloud, Viewpoint, Asite, Aconex, or similar.
- Knowledge of project handover requirements, O&M Manuals, Health & Safety Files, and BCAR documentation.
- Experience supporting ISO 9001 Quality Management Systems.
- Understanding of construction project lifecycles and project delivery processes.
