Job description

We are seeking a Part Time permanent Medical secretary to join our team at Haven Medical Practice for up to 3 days per week. Previous experience of medical secretarial work is desirable. The successful applicant will be joining a administration team of three including a practice manager. Excellent IT skills are required and experience with Socrates Health Management IT system desirable but not essential. The position is patient facing and the desired candidate should have excellent communication and interpersonal skills, as well as being empathetic when welcoming patients to the clinic and dealing with requests and queries. There are prospects for career advancement into other areas of medical office work for the right candidate. There is staff parking available onsite. No bank holiday or weekend work required. Duties and Responsibilities will include but not limited to:

  • Reception duties - answering phones, meet and greet patients / visitors of practice
  • Scheduling appointments
  • Deal with patient queries face to face and all telephone and website queries including orders for prescriptions, social welfare certificates, medical card enquiries etc in an appropriate and timely manner
  • Responsible for taking all payments coming into the practice, cashing up and balancing books
  • Scanning all documents to patient charts
  • Opening post as required
  • Dealing with all emails coming through healthmail and outlook
  • Supporting team of doctors with all admin duties e.g ringing for results if needed
  • Office filing
  • Other duties may be assigned by the practice manager or GP

Experience Required:

  • Medical secretary experience - advantage but not essential
  • Ability to multitask and be efficient at busy times
  • Excellent communication skills, telephone skills and interpersonal skills
  • Excellent IT skills including proficiency with emails, Microsoft Word and Excel
  • Exposure to an administration and reception position
  • Works well as part of a team
  • Excellent attention to detail.
  • Ability to be flexible to changing work practices. Works well as part of a team but comfortable working on own initiative.
  • Excellent written and spoken English is a requirement for this role.
