Part time | 15 to 17 hours per week | 10 month fixed term contract

ORA Skin Clinic is seeking an exceptional Front of House Coordinator and Clinic Assistant to join our team in Ballincollig.

This is a varied and responsible role at the centre of our Cork clinic, combining patient experience, diary management, clinic coordination and operational support.

We are looking for someone highly organised, self motivated and commercially aware, who takes genuine ownership of their role. The successful candidate will be motivated by achieving clinic and sales targets while always maintaining an exceptional patient experience and the highest standards of professionalism.

Key responsibilities

  • Deliver an exceptional patient journey from initial enquiry through consultation, treatment and follow up
  • Take ownership of rigorous diary management, ensuring clinical time is utilised efficiently and proactively identifying opportunities to optimise appointments and minimise gaps
  • Manage patient enquiries, bookings, cancellations, waiting lists and follow up efficiently and professionally
  • Work towards clinic, booking and product sales targets and proactively contribute to the growth and performance of the Cork clinic
  • Ensure every patient receives a warm, polished and highly professional front of house experience
  • Support clinicians throughout clinic days and anticipate what is required to ensure sessions run smoothly and on time
  • Maintain the presentation of the clinic to ORA standards at all times, including treatment rooms, reception and patient areas
  • Oversee day to day clinic organisation, including cleaning standards and general upkeep
  • Support effective stock management by monitoring stock levels, receiving deliveries, maintaining accurate and organised stock and promptly flagging requirements to the Clinic Manager
  • Process payments and ensure patient records and administrative systems are maintained accurately
  • Maintain absolute discretion and confidentiality regarding patients, clinicians and the business

About you

You will be someone who naturally takes ownership, notices what needs to be done and acts on it rather than waiting to be asked.

  • Confident using technology and administrative systems
  • Willing to take responsibility for the overall presentation and smooth day to day running of the clinic

Experience

Previous experience in a medical, dental, aesthetic or premium patient or client facing environment would be an advantage.

Previous experience using Phorest is highly desirable, particularly experience with diary management, patient bookings, payments and client communications.

Above all, we are looking for someone with initiative, excellent organisational skills and a strong sense of personal responsibility.

10 month fixed term contract

15 to 17 hours per week
