Full job description

Clerical Officer Grade IV (Radiology) Panel

Temporary Contracts, Part Time Hours. Hours for this post as a follows

Monday 8am to 12.45 pm

Tuesday 8am to 4 pm

Wednesday 8am to 12.45 pm

Thursday 8am to 12.45 pm

Friday 8am to 12.45 pm

Principal Duties and Responsibilities:

  • Register patients upon arrival for their appointment, ensuring all relevant information is input on the system correctly and updated where required, ensuring GDPR is adhered to.
  • Process incoming referrals for diagnostics imaging requests and ensure they are input correctly and in a timely manner.
  • Book patients for appointment and scans, and ensure appropriate instruction letters/appointment confirmation letters are issued, and/or relevant phone calls made.
  • Process X-Ray Requests from Consultants and GPs via RIS, Healthlink or Post.
  • Check the appointments each day for the previous day and highlight any queries or concerns with Radiographers or Consultant Radiologist.
  • Assist with any Radiology Outsourcing projects as required. Outsource appointments (from a clerical perspective) and work closely with the Radiographers on compiling the lists for outsourcing and ensure any follow up is completed.
  • Process all DNA (Did not Attend) at the end of each day and inform referring Consultant or GP.
  • Take patient payments and/or update patient insurance details where required.
  • Liaise with Patient Accounts Office to follow up on admissions and private health insurance forms where necessary.
  • Work closely with the PAC/Radiology Information System (RIS) Office.
  • Perform high-quality data entry on RIS and upload/scan Patient Consent Forms to RIS.
  • Process Freedom of Information Requests via PACS.
  • Ensure printing and distribution of Radiology Reports for external referrers and the Emergency Department is completed throughout the day.
  • Deal with telephone queries/emails and liaise with Radiologists, Radiographers, Patients and GPs, and other colleagues across all departments in the hospital as required.
  • Liaise with nursing staff regarding patient preparation for x-rays when required.
  • Deal with patient's issues or concerns in an compassionate, empathic manner.
  • Ensure that Office Supplies stock levels are adequate.
  • Assist the Scheduling Team during busy periods as required.
  • Ensure that accuracy and confidentiality is adhered to at all times.


Eligibility Criteria:

  • Work well as part of a team and be able to build strong relationships with colleagues.
  • Experience of working as part of a multidisciplinary team and making positive contributions to that team.
  • Excellent patient facing experience and able to work in a patient focused environment.
  • Have an organised and methodical approach to work, with excellent organisational and planning skills.
  • Possess excellent communication and problem-solving skills.
  • Excellent IT skills and experience in Radiology IT Systems, e.g. PACS, RIS required.
  • Flexible approach to work.
