Job Title: Practice Manager / Senior Medical Secretary

Location: Glanmire, Co. Cork

Reporting To: General Practitioners / Practice Partners

Employment Type: Full-Time (Permanent)

Job Purpose

To oversee the daily operational, financial, and administrative running of the GP practice while providing hands-on secretarial support. This hybrid role bridges frontline patient management with executive operational leadership, ensuring clinic profitability, regulatory compliance, and a high standard of patient care.

Key Responsibilities & Duties | Practice Management & Leadership

  • Staff Supervision: Manage and rota administrative/reception staff; facilitate team communication.
  • HR Support: Coordinate recruitment, onboarding, training, and performance reviews for support staff.
  • Compliance: Ensure strict adherence to GDPR, Health & Safety legislation, and HSE clinical guidelines.
  • Facilities Management: Oversee building maintenance, IT infrastructure, and waste management contracts.

Financial Management

  • HSE Reimbursements: Manage, reconcile, and submit monthly GMS (Medical Card) claims, STC (Special Type Consultation) claims, and Chronic Disease Management (CDM) returns.
  • Bookkeeping: Handle practice invoicing, payroll support, accounts payable/receivable, and bank reconciliations.
  • Private Fee Management: Monitor daily cash reconciliations, aged debt tracking, and private health insurance claims (VHI, Laya, Irish Life Health).

Senior Medical Secretarial Duties

  • Patient Flow: Assist at reception during peak times, manage complex patient queries, and resolve complaints.
  • Advanced Administration: Draft specialized medico-legal correspondence, referral letters, and clinic protocols.
  • Diary Optimization: Oversee the master scheduling systems for GPs, nurses, and locums to maximize clinic efficiency.

Requirements & Qualifications | Essential Criteria

  • Experience: Minimum 3 years of experience in a medical administration or practice management role within the Irish healthcare system.
  • System Knowledge: Expert-level proficiency in specialized GP clinical software (e.g., Socrates or HealthOne).
  • Financial Competency: Proven experience handling PCRS/GMS claims, private medical billing, and basic bookkeeping.
  • Leadership Skills: Strong capability to manage a small team, delegate tasks, and solve operational problems independently.
  • Communication: Excellent interpersonal skills with the ability to maintain absolute confidentiality.

Desirable Criteria

  • Formal qualification in Practice Management, Business Administration, or Medical Secretarial Studies.
  • Direct experience handling HSE primary care contracts and structural changes.
  • Advanced IT troubleshooting skills and experience with digital check-in or online triage systems.
