Medical Practice Secretary / Receptionist

Glanmire, Co. Cork

Reporting To: Practice Manager / General Practitioners

Employment Type: Full-Time / Part-Time (Permanent)

Job Purpose

To act as the first point of contact for patients and visitors, providing an efficient, welcoming, and confidential administrative support service. The role is vital in ensuring the smooth day-to-day running of the clinic, managing patient flow, and handling communications in a professional manner.

Key Responsibilities & Duties | Front-of-House & Reception

  • Patient Reception: Greet patients warmly, manage arrivals, and maintain an orderly waiting room.
  • Call Management: Answer telephone queries efficiently, filter calls, and direct messages to clinical staff.
  • Appointment Scheduling: Coordinate appointments for GPs, nurses, and allied health staff using the clinic diary system.
  • Patient Queries: Handle general inquiries regarding clinic fees, test results, and primary care services.

Administration & Patient Records

  • Data Management: Maintain accurate, secure patient records in compliance with GDPR regulations.
  • Medical Dictation: Type referral letters, medical certificates, and medico-legal reports accurately.
  • GMS & Schemes Administration: Process medical cards, doctor visit cards, and Under-8s GP care schemes.
  • Document Processing: Scan, tag, and sort incoming clinical mail, hospital discharge letters, and lab results into patient files.

Financial & Stock Support

  • Payment Collection: Process patient fees, issue receipts, and manage daily cash-drawer balancing.
  • Health Insurance Claims: Assist with the processing of private health insurance claims (e.g., VHI, Laya, Irish Life Health).
  • Office Maintenance: Monitor and order administrative and stationary supplies as needed.

Requirements & Qualifications | Essential Criteria

  • Experience: Minimum of 1–2 years of experience in an administrative or customer-facing role.
  • Communication: Exceptional verbal and written English with a polite, empathetic telephone manner.
  • Discretion: Deep understanding of medical confidentiality and a professional approach to sensitive information.
  • Multi-tasking: Ability to remain calm and organized in a fast-paced, high-volume environment.

Desirable Criteria

  • Previous experience as a Medical Secretary within an Irish General Practice or hospital setting.
  • Proficiency in specialized GP software (e.g., Socrates or HealthOne).
  • Qualification in Medical Administration or Secretarial Studies.
  • Knowledge of GMS (Medical Card) systems and the Irish primary care structure.
