About Us

Castleknock Cosmetic Clinic is innovative, patient-focused cosmetic and laser surgery clinic located in Dublin 15. We are seeking an enthusiastic and positive receptionist with excellent communication skills to join our team. The position is part-time and permanent.

We are looking for an experienced medical secretary / receptionist to join our team. Preferably with a minimum of 1 years’ experience in medical practice / aesthetic setting.

This is an exciting opportunity for an experienced part-time medical secretary / receptionist who enjoys working in a patient focused healthcare. This is an excellent opportunity for a highly motivated individual with strong administrative skills and a passion for patient care.

The Role

The role oversees the day-to-day operations of the practice, ensuring efficient workflows, excellent patient service, and strong administrative support for the clinical team.

The ideal candidate will have excellent communication and IT skills, with experience working in an aesthetic or medical office environment. Previous experience in a medical/aesthetic practice is desirable.

Front of house reception including booking and scheduling of appointments and coordination with clinical and team members.

Handling enquiries via phone & email, with a commercial and KPI’s awareness.

Dealing with, and developing a trusting rapport with patients, through effective & considerate communication.

Key Responsibilities

Coordinate daily, weekly, and monthly operational activities across the practice.

Ensure the smooth running of the appointment diary and administrative functions.

Develop, implement, and continuously improve standard operating procedures.

Optimise practice workflows and identify opportunities for efficiency improvements.

Document, monitor and track income streams.

Maintain financial records and practice spreadsheets.

Manage and respond to patient feedback professionally.

Schedule appointments and meet and greet clients.

Provide administrative support to clinicians and contribute to the overall success of the practice.

Experience with aesthetic practice is not essential, as training will be provided to the right candidate.

About You

We are looking for someone who is:

Highly organised with excellent attention to detail.

An effective communicator with strong interpersonal skills.

Confident using IT systems, Microsoft Office, social media and practice management software.

Experienced in administration, office management, or business operations.

Essential Requirements

Strong IT proficiency and excellent administrative skills.

Experience managing workflows, processes, and operational tasks.

Ability to work independently while supporting a collaborative team environment.

Experience working within the aesthetic industry or medical setting is desirable.
