About the Job

We have a fantastic opportunity for a Conference & Event Executive with experience in Delegate Registration to join our growing event operations team based in Dublin. As a member of the team you will assist on delivering International business events for our Corporate clients. You will also be responsible for managing registration platforms, specifically Stova & cVent as well as the creation & management of event apps and conference websites. The ideal candidate will be confident using AI tools and automation to improve workflows, enhance engagement, and deliver a seamless experience across in-person, virtual, and hybrid corporate events.



ABOUT US:

Our Global Events Team is responsible for delivering Conference and Destination Management services to multinational corporate clients around the world. Primarily working in the key European conference hubs we also operate events in Asia, Middle East and USA working closely with our local destination management teams in international cities across the globe.

This role supports our Senior Operations team in the professional delivery of international conferences for our multinational corporate client base. The Event Executive is a key person in the planning team, ensuring all delegate information and requirements are captured in an efficient and accurate manner.

REQUIREMENTS(ESSENTIAL):

  • Hands-on experience with Stova, cVent or equivalent enterprise-level registration platform.
  • 2-3 years experience in the corporate meetings and conference industry.
  • Skilled at handling high volumes of delegate or customer enquiries while managing workload efficiently
  • Demonstrable experience managing event apps and conference websites.
  • Comfortable using AI tools and automation platforms for operations and communications.
  • Exceptional attention to detail and organizational skills with a focus on high-quality execution
  • Clear and professional communicator—both written and verbal, fluent in both written and spoken English
  • Proficient in Microsoft Office, particularly Excel, with strong overall IT literacy
  • Proactive and solution-oriented, with a strong ability to meet deadlines
  • Collaborative team player who inspires confidence in both clients and colleagues
  • Show a natural proactive approach to achieving results, conflict resolution, negotiation skills, adaptability
  • Passionate about delivering excellent results for clients, and flexible in solutions focus.

AREAS OF RESPONSIBILITY:

REGISTRATION AND DELEGATE SERVICES:

  • International travel required, delivering customer support and on-site registration
  • Building and designing virtual event platforms (training provided)
  • Creating on-line registration sites for delegates, speakers & sponsors
  • Take ownership of the daily management of event registration platforms to ensure smooth delegate experiences and accurate data handling.
  • Support the build and design of virtual event platforms, including dedicated event apps.
  • Create and maintain content updates for event websites.
  • Daily interaction with delegates dealing directly with large volumes of delegate queries via email and phone and effectively managing workloads
  • Management of delegate databases and hotel accommodation blocks
  • Creation and management of event abstract submission sites where required.
  • Financial reconciliation of delegate payments (supported by the Finance Manager)
  • Working with internal and external providers such as AV, catering, design and digital
  • Assisting in the logistical planning and execution of successful live and virtual events in Ireland and abroad.
  • Planning and onsite ground transportation management
  • Handling multiple projects concurrently & Working collaboratively as part of a team

FINANCIAL MANAGEMENT:

  • Work within agreed framework for financial management, managing & ensuring cost sheets and budgets are up to date on a weekly basis for review with Finance Manager as necessary
  • Ensuring agreed financials targets on each project as confirmed by Account Director
  • Ensure files are reconciled in a timely manner

Pay: €35,000.00-€50,000.00 per year
