Polonez is looking for a Procurement Assistant to join our procurement team and support a fast-growing retail business.

Location: Clondalkin, Dublin
Contract: Full-time
Hours: 08:00–17:00
Salary: Depending on experience

This role is suitable for someone who is highly organized, accountable, solution-oriented and able to work quickly, communicate clearly, follow up strongly, English fluent.

Procurement & Buying

• Source and liaise with suppliers for equipment, shelving, signage, consumables, branded items, marketing materials, services and other indirect procurement needs.
• Request quotations from suppliers and contractors.
• Compare supplier offers based on price, quality, lead time, payment terms, delivery terms, warranty and supplier reliability.
• Prepare clear quote comparison summaries and recommendations for approval.
• Place routine orders with approved suppliers within agreed limits.
• Track purchase orders, supplier confirmations, delivery dates, delays, shortages and invoice issues.
• Ensure procurement tasks are followed through from request to completion.

Supplier Follow-Up & Problem Solving

• Communicate with suppliers regarding prices, lead times, availability, order confirmations, delivery problems and missing information.
• Chase suppliers actively and make sure replies are received on time.
• Escalate delays, supplier issues, pricing changes, quality problems or project-critical risks to management.
• Look for alternative solutions when suppliers cannot deliver on time.
• Support supplier improvement by identifying better suppliers, better pricing or better service options.

Stock, Warehouse & Store Support

• Support the control of warehouse stock for store consumables, small equipment, shelving items and project materials.
• Track stock levels, minimum quantities, reserved items and items required for stores or projects.
• Coordinate deliveries, collections and internal transfers to stores
• The successful candidate must be able to communicate clearly and professionally with suppliers, stores, warehouse, Finance, Operations and management

The ideal candidate will have:

• Experience in procurement, purchasing, buying, supply chain, logistics, operations, project coordination or supplier management
• Excellent spoken and written English.
• Russian or Romanian language skills would be a strong advantage
• Full clean EU / Irish driving license, active driver
• Good numeracy and ability to compare prices, lead times and basic commercial terms.
• Good Excel / Google Sheets skills.
• Strong attention to detail.
