Digital Systems Manager
Location: Dublin 18 (Hybrid/Office-based as required)
Reporting to: Operations Manager / CEO
Contract: Full time
Salary: €50,000 - €60,000 per year
Role Overview
Undergoing a significant transition towards becoming a modern, digitally enabled, cloud-first organisation. To support this transformation, we are seeking a Digital Systems Manager to take ownership of our internal technical ecosystem.
This is a pivotal role that will centralise responsibility for the organisation’s systems, ensure stability and efficiency, and support staff in delivering high-quality services to members.
The successful candidate will combine technical expertise, operational awareness, and strong interpersonal skills to manage systems, support users, and identify opportunities for improvement across digital platforms.
Key Responsibilities
1. Systems Ownership & Management
- Take end-to-end responsibility for the organisation’s core systems, including:
- CRM system
- Learning Management System (LMS)
- CPD/CIPD system(s)
- Microsoft Office 365 environment
- Website and associated digital tools
- Ensure systems are configured, maintained, and optimised for business needs
- Monitor system performance and identify enhancements
2. Internal Technical Support
- Act as the primary point of contact for internal IT and systems support and escalations
- Troubleshoot and resolve day-to-day technical issues across platforms and users
- Provide onboarding and training support to staff on systems and tools
- Develop simple user guides and documentation where required
3. Vendor & Service Management
- Liaise with external IT providers and system vendors
- Coordinate issue resolution, upgrades, and service improvements
- Manage service agreements and ensure delivery against expectations
4. Systems Integration & Data Management
- Support integration and data flow between key systems (e.g. CRM, LMS, website, CPD tools)
- Identify inefficiencies and implement automation or integration improvements
- Maintain data integrity across systems
5. Licensing, Access & Security
- Manage user accounts, permissions, and access controls
- Maintain accurate records of licences, renewals, and subscriptions
- Support cybersecurity best practice including:
- User access reviews
- Password/security policies
- Basic compliance and data protection awareness
6. Asset & Infrastructure Coordination
- Maintain a register of IT assets (hardware and software)
- Support procurement and setup of devices and systems
- Coordinate upgrades and lifecycle management of equipment
7. Digital Development & Continuous Improvement
- Conduct research into new technologies, tools, and efficiencies
- Support improvements across:
- Website functionality
- Digital engagement tools
- Social media and marketing platforms
- Work with the wider team to improve digital member experience
8. Operational & Strategic Support
- Assist in the day-to-day management of digital tools critical to operations
- Contribute to the IDA’s ongoing digital transformation strategy
- Identify risks and recommend improvements to systems and processes
- Oversee Cybersecurity profiles and risks and coordinate responses to evolving threats
Person Specification
Essential Experience & Skills
- Strong technical background with hands-on experience managing business systems
- Experience supporting Microsoft 365 environments
- Familiarity with CRM and/or LMS platforms
- Proven ability to troubleshoot and resolve technical issues independently
- Experience managing vendors or external service providers
- Understanding of user access management, permissions, and basic cybersecurity principles
- Ability to manage multiple systems and priorities simultaneously
Desirable
- Experience working in a membership organisation, professional body, or SME
- Knowledge of system integrations and APIs
- Exposure to digital marketing or website management tools
- Experience with CPD, LMS and or training systems
Degree or diploma in Information Technology, Business Information Systems, Computer Science or related discipline.
Microsoft 365 Certification (MS-900, MS-102 or equivalent).
CRM Administrator certification (Dynamics 365, Salesforce, HubSpot or equivalent).
ITIL Foundation certification.
Cybersecurity qualification such as Security+, SC-900 or ISC² Certified in Cybersecurity.
