Full job description

The Assistant Examinations Officer reports to the Examinations Officer. The Assistant Examinations Officer helps support the administration of examinations for all College programmes; the input of results on College systems; the organisation of Examination Boards; and the provision of results to students. The Assistant Examinations Officer helps support lecturing staff in the delivery of continuous assessment through the semester. The Assistant Examinations Officer has a role in the creation and maintenance of database records and the creation of new courses on the College's Learner Management System (Moodle). The Assistant Examinations Officer helps lecturing staff and students with queries regarding assessment and results.

Specific Responsibilities:

Assists in the administration of all aspects of examination, including:

  • timetabling
  • organisation of examination venues
  • recruitment, training, and supervision of invigilators
  • collection, formatting, and printing of examination papers
  • production of associated examination documentation
  • running of examination events
  • invigilation of examinations
  • management of scripts
  • provision of information to moderators and External Examiners

Assists in the administration of student results, including:

  • collection and entry of results on database
  • preparation for Examination Boards
  • provision of transcripts of results to students
  • management of student applications to view scripts, recheck results or review grades
  • submission of results to the relevant accrediting body

Assists with Certification, including

  • production of certificates

Assists with the re-registration of progressing and repeating students, including

  • liaison with Student Services
  • allocation of student curricula on database

Assists with continuous assessment, including

  • creation and maintenance of assignment submission links (Moodle)
  • building of test activities on Moodle (specifically, Moodle MCQs)
  • invigilation of in-class tests
  • provision of repeat continuous assessment to students

Assists with the creation and maintenance of database records, including

  • course and module instances
  • course curricula

Assists with the creation and maintenance of Moodle courses as and when required.

Requirements:

  • Experience in a third-level educational environment
  • Experience in a similar role is highly desirable
  • Experience with database management (ideally, Quercus)
  • Experience working on an LMS (ideally, Moodle)
  • Proficient use of Excel, Word, Adobe Acrobat / Illustrator, Teams, Zoom
  • Excellent organisational skills and attention to detail
  • Ability to work quickly and accurately to meet hard deadlines in a fast-paced environment
  • Flexibility as to working hours, as may be required from time to time by Exam schedules
