Overview

Independent College is home to 30+ academic staff and professional staff, and 1000+ students. It is comprised of School of Business, Law and Public Affairs Ireland.

The College has experienced significant growth in recent times and is now seeking to appoint a full-time Learner Support Assistant to sustain and enhance its student services department.

The Learner Support Assistant role is key to maintaining the student and educational team relationship. They will often be the first point of learner contact and as such have a direct impact on the student experience.

Job Duties

· Act as the lead administrative contact for staff and students

· Assist and play an active role with the coordination and planning of enrolment, induction and graduation of students

· Ensure students are provided with all necessary documentation at enrolment and re-enrolment to maintain their visa status as appropriate

· Allocate learners to learning events, creation, release and update of timetables for individual learners

· Provide support to the students via email, via walk in, in the office and via phone.

· Identify students who may be at risk of withdrawal and report to the Dean of Student Affairs.

· Accurate and full maintenance of all records for enrolled students, following operational procedures, maintaining accurate contact and interaction records

· Monitor students’ attendance and notifications of absence, following the specific attendance policy. Take action where appropriate and communicate any issues arising to the academic team

· Act as the primary administrative contact for student queries and concerns regarding enrolment, assignment handling, examinations, re-sits, examination marks processing, extenuating circumstances, academic appeals and graduation queries

· Process applications for extenuating circumstances and deferrals. Ensure documentation is maintained in line with policy

· Accompany students to meeting with senior management as required

· Provide administrative support for student representative elections, meetings and activities

· Organise and provide administrative support for learner-led enhancement activities

· Contribute to the wellbeing, health and safety of students, including reporting issues of concern to the relevant member/s of staff

· Work in partnership with students to close feedback loops and communicate updates

· Promote academic and welfare issues, both internally and externally

· Display respect, dignity and empathy for all students whilst maintaining appropriate student behaviour standards

· Clear and timely communication as well as highly developed interpersonal skills to function as an effective Learning Support Assistant

· Excellent knowledge and understanding of the Quality Assurance Manual

· Ensure learners are aware of the policies of the college

· Develop and contribute to systems, processes, policies and procedures associated with academic and non-academic student issues

· Work with the Dean of Student Affairs, in respect of policies and procedures relating to student support and take lead responsibility for appropriate implementation, review and enhancement of same

· To engage in professional level development which is consistent with the needs and aspirations of the post-holder and the College.

· To develop collaborative working relationships with colleagues

· To undertake such other duties as may be reasonably requested by the Dean of Student Affairs and that are commensurate with the nature of the post.

Qualifications

· Minimum of a NFQ level 8 degree.

Desirable Criteria:

Experience

· Candidates must have 1 year recent and relevant experience in a higher education or other learning environment

· Experience of operating in a quality assurance environment (education or other)

Skills and Abilities

· Proven track record in customer engagement and retention

· Strong customer service skills

· Good ITC skills

· Ability to communicate clearly at all levels

· Excellent administrative and organisational skills with the ability to prioritise tasks and to meet strict deadlines

· Ability to identify signs of distress and provide direction to appropriate support services

· Must be able to work in a flexible, ever-changing environment

· Organisational & analytical skills and aptitude for details

· Ability to work as an integral part of a team

Note: As the College continues to expand and evolve, it is likely that some flexibility, regarding the allocation of specific duties will be necessary. Accordingly, the list of duties detailed above is not intended to be exclusive or restrictive, unless specified; duties maybe added or withdrawn, but any such alterations will take place within the remit of the Head of Student Experience.
