Full job description

Join One of Dublin's Leading Property Companies

Founded in 2008, Owen Reilly is an award-winning independent property company specialising in the sale, letting, management and acquisition of prime residential property across Dublin.

We are seeking an ambitious, organised and detail-oriented Operations & Property Coordinator to join our growing team. This is an excellent opportunity for someone who enjoys working in a fast-paced professional environment and wants to build a long-term career in the property industry.

Unlike many administration roles, this position offers exposure to every aspect of the residential property market, including sales, lettings, property management and finance. You will work closely with experienced professionals across the business and gain a level of industry knowledge that is difficult to find elsewhere.

About the Role

You will play a central role in supporting the day-to-day operations of the business, helping to ensure a first-class experience for our clients, tenants, landlords, owners and colleagues.

No two days are the same. One day you may be onboarding a new property, assisting with a sales launch or supporting a property manager. The next, you could be helping the finance team, coordinating inspections or managing client communications.

Key Responsibilities

Operations & Administration

  • Respond to client, tenant and contractor enquiries by phone and email.
  • Maintain and update company databases and CRM systems.
  • Prepare reports, statements and correspondence.
  • Manage digital filing systems and company records.
  • Coordinate appointments, surveys and access arrangements.

Sales & Lettings Support

  • Onboard new vendors, landlords and properties.
  • Update property information across internal systems.
  • Assist with property launches and marketing administration.
  • Coordinate photographers, surveys, valuations and viewings.
  • Support agents throughout the sales and lettings process.

Property Management Support

  • Assist with tenant onboarding and compliance procedures.
  • Manage maintenance requests and contractor communications.
  • Process tenancy administration and reference requests.
  • Support inspection scheduling and reporting.
  • Maintain property management software and records.

Finance Support

  • Process supplier invoices and client payments.
  • Assist with banking administration and payment runs.
  • Reconcile records and maintain accurate financial data.
  • Issue receipts, statements and supporting documentation.
  • Support the Head of Finance and Operations with administrative tasks.

What We're Looking For

  • Minimum 2 years' experience in administration, operations or office support with a property background.
  • Strong organisational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • High level of proficiency in Microsoft Office, particularly Excel, Word and Outlook.
  • Comfortable managing multiple priorities and deadlines.
  • Positive attitude and willingness to learn.
  • Professional and personable manner.
  • Experience in property, finance or customer service is essential.

What We Offer

  • Opportunity to work with one of Dublin's most respected property brands.
  • Exposure to sales, lettings, property management and finance.
  • Structured training and career development.
  • Friendly and supportive team environment.
  • Modern systems and technology.
  • Opportunity for progression as the company continues to grow.
  • Competitive salary based on experience.

If you are highly organised, enjoy working with people and are looking for a role where you can genuinely develop your career, we would love to hear from you.
