Full job description
Part-Time | Fully Remote | Ireland | Approx. 15 hours per week
We are looking for a highly organised, reliable and proactive Group Business & Personal Assistant to provide administrative support across a family-owned group of businesses, including a construction company, property investment activities and some personal administration.
The role is fully remote and can be carried out from anywhere in Ireland. We expect the role to be approximately 15 hours per week, ideally spread over a few hours per day, but we are flexible around the successful candidate's schedule.
This is an ideal role for someone who enjoys being organised, taking responsibility and making sure things get done without needing to be constantly chased or given detailed instructions.
The Role
The role will involve a variety of administrative and organisational responsibilities, including:
- Accounts & administration – invoicing, preparing quotations, following up outstanding payments, recording payments in Sage and liaising with our bookkeeper.
- Construction administration – managing employee/subcontractor records, RCT administration, warranties, job photographs, safety records and assisting with grant applications.
- Property administration – keeping track of leases, RTB registrations, insurance and utility renewals, fire safety inspections and prospective tenants.
- Marketing & online – assisting with social media, advertising and keeping the company website up to date.
- General administration – keeping records organised, monitoring important dates and renewals, obtaining quotations and following up on outstanding tasks.
- Personal administration – occasional personal/family admin and research, including grant applications and household renewals.
The role will involve dealing with customers, tenants, tradespeople, subcontractors, suppliers, accountants/bookkeepers and other third parties.
Who We're Looking For
The most important qualities are organisation, reliability, common sense and initiative.
We're looking for someone who:
- Is highly organised and good at keeping track of multiple deadlines
- Takes ownership and follows things through
- Is comfortable working independently and remotely
- Has excellent attention to detail
- Is confident communicating with people by phone and email
- Is comfortable with computers, spreadsheets and online systems
- Is trustworthy and discreet
- Is willing to learn new systems and processes
Previous experience in administration, bookkeeping/accounts, property, construction or office management would be an advantage but is not required. Experience with Sage, ROS/RCT or property administration would be particularly useful, but training can be provided.
