Full job description

Role Overview

We are seeking an organised and detail-oriented Clinic Data Entry Administrator to join our School Vaccination Team. The successful candidate will play a vital role in ensuring that vaccination records are accurately entered onto the PharmaVax system, supporting the safe and efficient delivery of school-based vaccination programmes.

Working closely with pharmacists, clinic co-ordinators and the wider support office team, you will be responsible for processing patient information, maintaining accurate records, identifying missing information, and ensuring vaccinations are recorded in line with regulatory requirements and company procedures.

Key Responsibilities

  • Accurately enter patient vaccination data onto the PharmaVax system following school vaccination clinics.
  • Review consent forms and vaccination records to ensure all required information has been captured.
  • Identify missing, incomplete, or inaccurate patient details and liaise with the relevant team members to resolve discrepancies.
  • Ensure patient records are maintained in accordance with GDPR and company data protection policies.
  • Verify demographic information including PPS numbers and other mandatory patient details where required.
  • Support the preparation and reconciliation of vaccination reports and audits.
  • Work collaboratively with pharmacists, clinic co-ordinators and administration teams to ensure timely completion of data entry activities.
  • Assist with the management and organisation of clinic paperwork and electronic records.
  • Maintain strict confidentiality when handling patient information.
  • Meet agreed productivity and accuracy targets during peak vaccination periods.
  • Provide administrative support to the Pharmacy Health Services Team as required.

Essential Requirements

  • Strong data entry and administrative skills with excellent attention to detail.
  • Highly organised with the ability to manage large volumes of information accurately.
  • Competent in Microsoft Office, particularly Excel and Outlook.
  • Ability to work independently while also contributing effectively as part of a team.
  • Excellent communication and problem-solving skills.
  • Experience handling confidential information in a professional environment.
  • Ability to work to deadlines during busy seasonal vaccination campaigns.

Desirable Requirements

  • Previous experience working in healthcare, pharmacy, medical administration, GP practice, or a similar clinical setting.
  • Knowledge of vaccination services or patient record systems.
  • Experience using PharmaVax or other healthcare databases.
  • Understanding of GDPR and healthcare data governance requirements.
