We are seeking an Administrator to join our team in our Dublin office, providing essential administrative and office support to colleagues across our Client Facing and Shared Services teams. This is a varied role that combines front-of-house responsibilities, office coordination, document management, and wider business support activities, helping to ensure the smooth day-to-day operation of our office environment.

The role includes:

  • Providing administrative support to colleagues, Team Leads, and the Business Support Manager
  • Acting as the first point of contact for visitors, creating a professional and welcoming experience
  • Coordinating meeting rooms, desk bookings, hospitality, and refreshments
  • Supporting the upkeep of office facilities, communal areas, and meeting spaces
  • Delivering reception cover, handling telephone calls, couriers, and visitor enquiries
  • Preparing, formatting, proofreading, scanning, and issuing business documents and reports
  • Maintaining confidential records, files, databases, and project documentation
  • Contributing to specialist Business Support sub-teams, supporting the delivery of key service KPIs and business objectives across areas such as Contracts Review, Travel, Client Registration, PPE, and Document Formatting
  • Contributing to wider Business Support initiatives and administrative projects

About You

We're looking for someone who is highly organised, proactive and enjoys providing excellent service to both internal and external stakeholders.

  • Demonstrable experience in an administration, business support, office coordination or receptionist role
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines
  • Strong communication and interpersonal skills, with a professional and approachable manner
  • High attention to detail and accuracy when preparing and reviewing documents
  • Confident using Microsoft Office applications, including Outlook, Word, Excel and PowerPoint
  • Experience working in a customer-facing environment and delivering excellent service
  • Ability to handle confidential information with discretion and professionalism
  • A positive, flexible and proactive approach, with a willingness to support colleagues across a variety of tasks
