Production Project Coordinator

About the Role

We are looking for an organised, practical and solutions-focused Production Coordinator to join the Projekt team.

This is a varied, hands-on role involving the coordination of projects from initial brief through design development, production and installation to final account close-out. You will work closely with clients, colleagues, suppliers and installation teams to ensure every project is delivered on time, within budget and to the quality standards expected by Projekt.

The ideal candidate will be comfortable managing several projects at once, preparing artwork and production files, coordinating suppliers and solving problems as they arise. This position would suit someone who combines strong organisational skills with creative and technical awareness.

Production and Project Co-ordination

  • Co-ordinate assigned projects from initial brief through production, installation and completion.
  • Liaise with clients, colleagues, suppliers, contractors and installation teams throughout each project.
  • Assist with preparing project schedules and ensure that agreed deadlines, budgets and quality standards are met.
  • Co-ordinate the production process, including material specifications, supplier quotations, purchase orders, artwork, proofs, approvals, quality control, collections, deliveries and installations.
  • Obtain and assess supplier quotations, assist with cost negotiations and maintain accurate project costings.
  • Co-ordinate traffic-management requirements where applicable.
  • Prepare clear briefs and relevant project information for suppliers, contractors and installation crews.
  • Monitor the progress and quality of work during production and installation.
  • Identify, communicate and help resolve production issues relating to deadlines, materials, suppliers, manufacturing or installation.
  • Anticipate potential production problems and take appropriate action in consultation with the relevant team members.
  • Assist with final job-cost calculations and the close-off of completed projects for invoicing and accounts.
  • Maintain and develop the Company’s database of approved and reliable suppliers and installation contractors.
  • Build and maintain positive, professional relationships with clients, suppliers, contractors and other project partners.

Graphic Design and File Preparation

  • Prepare presentation documents, visuals and supporting materials for client presentations, proposals and new-business pitches.
  • Prepare and check artwork, manufacturing files and production specifications before issuing them to suppliers.
  • Liaise with designers, clients and suppliers to ensure that artwork, measurements, materials and specifications are accurate and approved before production.
  • Maintain organised project files, artwork versions, proofs and approval records.
  • Assist with the Company’s marketing activities where required, including social media content, newsletters, e-zines, photography and brochures.
  • Assist with documenting completed projects for the Company’s portfolio and promotional materials.

General Duties

  • Work closely with the Projekt team, clients and project partners to support the delivery of projects within agreed deadlines.
  • Develop your technical knowledge of materials, suppliers, manufacturing methods and installation solutions.
  • Provide informed supplier recommendations and suggest appropriate manufacturing solutions for individual projects.
  • Maintain accurate project records and provide clear and timely progress updates.
  • Provide reasonable holiday cover for other team members when required.
  • Carry out any other reasonable duties consistent with your position as Production Co-ordinator and the operational requirements of the Company.

Pay: €40,000.00-€50,000.00 per year
