Summary
We're looking for an Administrative & Property Management Assistant to support our Carrickmacross Management team in various administrative, property and operational tasks. The ideal candidate will be professional, detail oriented, possess strong verbal and written communication skills, and function well in a fast paced critical thinking environment.
The ideal candidate will also have experience in landlord tenant property and tenant administration, documentation and correspondence.
Responsibilities
Administrative & Secretarial Tasks
· Day to day administrative tasks assisting directors and management staff.
· Letters, reports, correspondence, and documentation requiring accurate attention to detail.
· Email and phone correspondence management, internal meeting requests.
· Filing system (digital folders/files/archives).
Property & Tenant Administration
· Landlord tenant documentation and compliance.
· Review of all relevant documents, notices, internal files, etc.
· Property documentation and filing of visit reports, inspections, maintenance requests.
Office & Filing System Management
· Microsoft Word for letters, reports, drafting.
· Microsoft Excel for property registries and spreadsheets
· Document review and internal assistance for filing needs, data entry, quality assurance.
Scheduling & Coordination
· Internal meetings and visits with staff & with management and clients.
· Communication with staff across projects or management needs.
· Ad hoc director diarist for travel and project expectations.
· Experience of invoices, employee expense reports, project reconciliations.
Required Experience
· Microsoft Excel/Word proficiency and email management systems.
· Written correspondence via email and proper letters to tenants/employees/contractors on behalf of management/project managers.
· Critical thinking; ability to assess situations logically and independently this is crucial!
· Desire for long term employment in a position that has varied day to day operations.
Personal Attributes
· Dependable and trustworthy with sensitive documents.
· Discretion is a must; must have a professional demeanour and presence.
· Must be an excellent problem solver who works independently but also intimately within a small team,
· Trustworthy with private materials/documents not to be shared with anyone outside of the office.
Experience Required: This is not an entry-level position. At least 5 years of experience in the field is required. While some training will be provided, the applicant should be competent in their work already with minimal micro-management required.
Job Type: Full-time
Pay: €40,000.00-€50,000.00 per year
