Role Overview

As a Receptionist / Administrator at EverPower, you will play a vital role in ensuring the smooth running of our office and providing a professional first impression for clients and visitors. You will be responsible for managing front desk activities, handling client queries, and supporting day-to-day administrative tasks. This is an excellent opportunity for someone with strong organisational and communication skills who enjoys working in a dynamic and purpose-driven environment.

Responsibilities

· Welcome and check in clients for appointments, ensuring a professional first impression.

· Serve as the first point of contact for client queries, handling them efficiently and courteously.

· Provide front desk services, including answering and directing phone calls, taking and distributing messages, and greeting visitors in a warm and professional manner.

· Manage agendas, travel arrangements, appointments, and schedules as required.

· Assist the Executive Director in organizing conferences and events.

· Support general office administration, including document management, filing, and maintaining inventories.

· Handle incoming and outgoing post, ensuring timely distribution and action.

· Maintain the upkeep and presentation of public areas and the back office.

· Monitor and replenish office supplies (stationery, kitchen, cleaning, etc.) to ensure smooth daily operations.

· Perform ad-hoc administrative tasks as required.

· Carry out other duties as assigned on a day-to-day basis.

Qualifications & Requirements

· Positive, professional, and approachable manner with strong interpersonal skills.

· Fluent in English, both written and spoken.

· Proficiency in Microsoft Office (Word, Excel, Outlook) and other common office applications.

· Strong customer service skills with the ability to represent the organisation professionally.

· Previous secretarial or receptionist experience is essential.

· Strong organisational and time management skills, with the ability to prioritise tasks effectively.

· Ability to work independently, using initiative to solve problems.

· Proactive and adaptable approach to work.

· High level of discretion and professionalism, maintaining confidentiality at all times.

· Ability to remain calm and composed under pressure.

· Minimum of 2 years’ experience in an office environment.

Desirable (But Not Essential)

· Experience in a busy office, reception, or administrative environment

· Familiarity with office management systems and procedures

· Educational background in business administration, office management, or related fields
